OpsArmours Terms & Conditions

These Terms & Conditions ("Terms") govern access to and use of the OpsArmours workforce management application (the "App"), provided by the OpsArmours platform ("OpsArmours," "we," "us") to authorized employees and contractors of the organization that granted you access (the "Organization").
By signing in to the App, you agree to these Terms and to follow the Organization policies that apply to your role. If you do not agree, do not sign in or use the App.
1. Accounts and authorized use
- There is no public sign-up. Accounts are created and provisioned by your Organization's managers, and access is limited to personnel with an active employment status. Suspended or terminated accounts cannot sign in.
- Your account is personal to you. Keep your credentials confidential, do not share your account, and do not access anyone else's.
- If you are issued a temporary password, you must set your own password before using the App.
- You may use the App only for legitimate work duties assigned to your role — guard, supervisor, or manager. Unauthorized access, misuse of workforce data, or attempts to circumvent security or access controls are prohibited.
- Report a suspected account compromise or data misuse to your manager or Organization promptly.
2. Roles and responsibilities
The App enforces role-based access. In broad terms:
- Guards clock in and out of assigned sites, submit weekly availability, view shifts, claim open replacement shifts, request employment letters, and read announcements.
- Supervisors monitor site clock activity (including forced clock-outs with recorded reasons), build and submit schedules, create replacement shift openings, review letter requests, and publish site-level announcements.
- Managers approve schedules and replacement shifts, sign and release employment letters, manage sites, geofences, and employees (enrollment, suspension, termination, role changes, password resets), run reports, manage organization branding, and publish organization-wide announcements.
You agree to handle workforce and operational data responsibly and only as needed for your duties. Role-specific duties are shown in the App when you open these Terms and form part of your obligations under these Terms.
3. Timekeeping and location integrity
- Clock times, schedules, availability, letters, and other operational records may be used for payroll, compliance, and management decisions. Do not falsify entries.
- At geofenced sites, the App captures your device's GPS position at clock in and clock out to verify on-site presence. Clock-in outside a site's geofence is rejected; clock-out outside the geofence is recorded and flagged for supervisor review.
- Using mocked, spoofed, or otherwise falsified location data is prohibited and is treated as a falsified record. The App detects and rejects mocked locations.
- Supervisors may force a clock-out with a recorded reason where operationally necessary; such actions are logged.
4. Accuracy of information
- You are responsible for keeping the personal and employment details you can edit (such as your phone number, emergency contacts, and profile photo) accurate and up to date.
- Employment letters are generated from Organization records and your requests. Released letter PDFs are immutable records; corrections are made through the revision, revocation, and reissue workflow, not by editing released documents.
5. Offline use and sync
- The App keeps a local cache on your device so you can keep working with limited or no connectivity. Actions taken offline (for example clock events, availability, and read acknowledgements) are queued and synced when connectivity is restored.
- Do not treat a local-only change as final until it has synced successfully. The App shows sync status so you can confirm.
- Clearing the App's local cache from Settings does not delete records already stored on Organization servers.
6. Communications and acceptable content
- The App's communication tools are work channels: announcements, clock and schedule notes, and employment letter content. There is no personal chat or direct messaging.
- Content you author must be professional, accurate, and work-related. Do not post unlawful, harassing, discriminatory, or confidential-beyond-your-authority content.
- Announcement read receipts are recorded, and authors and management can see who has read an announcement.
- Push notifications are optional and configurable per category in Settings. Urgent announcements may be prioritized for delivery.
7. Privacy and data
- The Organization and OpsArmours process account, scheduling, attendance, location-at-clock, letter, and related operational data to run the workforce program, as described in the OpsArmours Privacy Policy (https://www.opsarmours.com/privacy). The Privacy Policy forms part of these Terms.
- The App does not collect product analytics or advertising identifiers.
- Operational activity is recorded in audit logs for compliance. Audit logging cannot be disabled and is visible to Organization managers.
- Your profile visibility setting controls whether others see your non-essential contact details (phone, emergency contacts, photo) in the directory. Your name, employee ID, role, position, and employment status remain visible because they are required for operations.
- In-app tools let you export your data (Download My Data) and delete your account (Delete Account), subject to the constraints described in the Privacy Policy (for example, a supervisor must have sites reassigned first, and the last active manager of an organization cannot self-delete).
8. Device requirements and permissions
- Some features require device permissions: location (while in use) for geofenced clock events, camera/photo library for profile pictures, and notifications for work alerts. Denying a permission disables only the related feature; in particular, you cannot clock in at a geofenced site without location permission.
- Optional biometric unlock (Face ID / fingerprint) is processed entirely on your device and protects local App access; it does not replace your account password.
9. Suspension and termination of access
- The Organization may suspend or revoke your App access at any time — including when employment ends, when credentials are compromised, or when these Terms or Organization policy are violated.
- Upon termination of access, you must stop using the App and, if instructed, remove residual Organization data from personal devices (for example by clearing the App cache or uninstalling the App).
- Termination of access does not delete operational records (clock entries, schedules, letters) retained by the Organization for payroll and compliance.
10. Intellectual property and license
- OpsArmours grants you a limited, non-exclusive, non-transferable, revocable license to use the App for your work duties while you have authorized access.
- You may not copy, modify, distribute, reverse engineer, or create derivative works of the App, or use it to build a competing product.
- The App, its design, and its content (other than your Organization's data) remain the property of OpsArmours and its licensors.
11. Disclaimers and limitation of liability
- The App is provided "as is" and "as available" for workplace use. While we work to keep the service reliable, we do not guarantee uninterrupted availability, and offline-queued actions depend on your device and connectivity.
- Employment decisions — including scheduling, pay, discipline, and termination — are made by your Organization, not by OpsArmours. Records in the App support, but do not replace, your Organization's employment processes.
- To the maximum extent permitted by law, OpsArmours is not liable for indirect, incidental, or consequential damages arising from use of the App. Nothing in these Terms limits liability that cannot be limited under applicable law, or your statutory employment rights.
12. Changes to these Terms
- We may update these Terms. Continued use of the App after an in-app notice of a new version constitutes acceptance of the updated Terms.
- The version label and effective date at the top of this document identify the Terms that apply.
13. Governing law
These Terms are governed by the laws of Canada and the province in which your Organization operates, unless your employment agreement or applicable law provides otherwise.
